The Old Woodstock Mock Mayor is a community charity event run by volunteers in Woodstock, Oxfordshire. This privacy notice explains how we handle any personal information we collect.

What information we collect and why

Event photography and video

We take photos and videos at the Mock Mayor event to:

  • Share the fun on social media and our website

  • Promote the event and our charitable work

  • Document this historic tradition

Your rights: If you don't want to appear in photos or videos, please let a committee member know on the day. If we've already published a photo of you and you'd like it removed, contact us.

Committee and volunteer information

We keep contact details (names, email addresses, phone numbers) of committee members and volunteers to organize the event. We only share this information within the organizing team.

Website visitors

Our website (hosted on Wix) may collect basic analytics about visitors - things like how many people visit and which pages they view. This helps us improve the site. Wix's own privacy policy applies to how they handle this data.

Email updates

If you've signed up to receive updates about the event, we'll keep your email address until you ask us to remove it. You can unsubscribe at any time.

Mock Mayor candidates

We publish names and light-hearted biographical information about people standing for Mock Mayor (with their permission, of course - they volunteer for this!).

How long we keep information

  • Event photos/videos: We keep these to document the tradition's history, but we'll remove any image if you ask

  • Contact details: Committee and volunteer details are kept while you're actively involved, then deleted

  • Email list: Until you unsubscribe

Your rights

You have the right to:

  • Ask what information we hold about you

  • Request we delete your information

  • Object to us using your information

  • Ask us to correct inaccurate information

Security

We take reasonable steps to keep your information secure. Committee lists aren't left lying around, digital files are password-protected, and we don't share information outside the organizing team except as described here.

Legal basis

We process personal data under "legitimate interests" - running a community charity event that's been part of Woodstock's heritage since 1786.
